1. Information we collect
Depending on how you interact with us, we may collect:
- your name, email address and telephone number;
- your address and postcode where needed for session or transport logistics;
- booking dates, times, references, changes, cancellations and attendance information;
- information you include in application forms, enquiries, messages or session notes;
- payment status, transaction identifiers and refund information supplied by our payment provider. We do not receive or store your full card number;
- marketing preferences if you choose to opt in in the future; and
- limited technical and security information, such as IP address, browser type, timestamps, error records and fraud-prevention logs.
2. How and why we use information
We use personal information to:
- provide quotations, respond to enquiries and administer applications;
- take, confirm, reschedule and cancel bookings;
- process deposits, payments and refunds;
- send service messages, booking confirmations and secure management links;
- plan sessions and, where applicable, coordinate transport;
- maintain accounting, tax and transaction records;
- protect the website, customers and business against misuse, fraud and security threats; and
- send marketing only where a lawful permission applies.
Our lawful bases are normally performance of a contract or steps requested before entering one, compliance with legal obligations, our legitimate interests in running and protecting the business, and consent where we ask for it.
3. Payments
Payments and refunds are processed by Stripe. Stripe receives the payment details needed to complete the transaction and acts under its own privacy information. Our records contain payment status and transaction references rather than full card details.
4. Addresses and transport arrangements
An address or postcode supplied with a booking is used for session logistics and, where relevant, to arrange transport. We may share the minimum necessary journey and contact details with a driver or transport provider involved in that arrangement. We do not permit them to use those details for marketing.
5. Who we share information with
We share information only where needed with service providers supporting the website, hosting, scheduling, email delivery, payments, professional advice, accounting, security or transport. These currently include IONOS for hosting, WordPress and relevant website plugins, and Stripe for payments. We may also disclose information where required by law or to establish, exercise or defend legal claims.
We do not sell personal information.
6. International processing
Some technology providers may process information outside the United Kingdom. Where this occurs, we use providers that apply an approved safeguard, such as an adequacy regulation or recognised contractual protections, as applicable.
7. How long we keep information
- Booking, payment and accounting records are normally retained for up to six years where needed for tax, accounting or legal purposes.
- Applications and enquiries that do not proceed are normally retained for up to 12 months.
- Address and transport-logistics details are removed when no longer needed, normally within 30 days after the relevant session, unless they form part of a record we must retain or are needed for a dispute.
- Routine security and rate-limit records are normally retained for no longer than 90 days unless an incident requires longer investigation.
- Marketing consent records are kept while consent remains valid. We may retain a minimal suppression record after an unsubscribe so that we respect the request.
We may keep information for longer where law, a dispute or an active claim requires it.
8. Marketing
We do not currently send newsletters or routine marketing emails. If we introduce them, signing up will be optional and separate from booking or purchasing a service. We will record the permission given, identify ourselves in each message and provide an easy way to unsubscribe. Service messages about an existing booking are not marketing.
9. Cookies and similar technologies
The website currently uses only technologies needed to operate, secure and administer the service, together with third-party services a visitor actively chooses to use, such as Stripe checkout. We do not currently use advertising or behavioural-analytics cookies. Please see our Cookie Policy. If non-essential analytics or advertising technologies are introduced, we will provide an appropriate consent choice before using them.
10. Your rights
Subject to applicable law, you may ask for access to your information, correction, erasure, restriction, portability, or object to certain processing. Where processing relies on consent, you may withdraw it at any time without affecting earlier lawful use.
To exercise a right, email info@themikelanny.com. We may need to verify your identity. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
11. Security
We use reasonable technical and organisational safeguards, including restricted access, protected credential storage, encrypted web connections, security monitoring and limited-access booking management links. No online system can be guaranteed completely secure, so please keep booking-management links private.
12. Children
Online bookings and applications must be submitted by an adult. Where a programme involves children or family members, the responsible adult should provide only information that is necessary and confirm they are authorised to do so.
13. Changes to this policy
We may update this policy when our services or legal obligations change. The current version and its update date will remain available on this page.
